Getting started
You forward your school emails to a unique Pipa address. Pipa reads every newsletter, PDF, Word document and Sway page — automatically identifying important dates, deadlines and what your children need to bring.
Pipa then sends you clear WhatsApp reminders at exactly the right moment: the night before anything important, and a weekly summary every Sunday. No apps, no logins, no faff.
No — Pipa works entirely from the parent's side. You don't need to ask your school to do anything differently. They carry on sending newsletters and emails exactly as they always have. You simply forward those emails on to your unique Pipa address.
Sign up at pipa-assist.co.uk and complete the short setup (usually under 5 minutes). You'll get a unique Pipa address to forward your school emails to, and a ready-made email you can send to your school office asking them to add your Pipa address to their mailing list directly.
Most parents receive their first reminder within 24 hours of forwarding their first newsletter.
All messages come from the same Pipa WhatsApp number. During setup you'll be prompted to save Pipa as a contact — or Pipa will send you a vCard (contact card) with the first message so you can save it in one tap. This stops reminders appearing from an unknown number.
Your account
Yes. You can add as many children as you have, across multiple schools. Pipa keeps each child's reminders separate and organised, so you always know which reminder is for which child.
Pipa reads plain email text, PDF newsletters, Word documents (.docx), Microsoft Sway pages, and scanned image documents via OCR. It also follows links in emails to fetch content from school websites and parent portals.
If your school sends it, Pipa can read it — regardless of format.
Some schools use closed platforms that don't support external forwarding. In these cases, you can forward any notification emails you receive to your Pipa address — or ask your school office to add your unique Pipa address to their mailing list directly alongside your personal email address.
Pipa processes both methods identically, so you get the same experience either way.
Yes. You can pause reminders at any time from your account — for example during school holidays — and resume them whenever you're ready. Pausing is not the same as cancelling; your account and all your school data stay intact.
Reply STOP to any Pipa WhatsApp message and all reminders will stop immediately. You can also pause or cancel from your account at any time.
Pricing & trial
Pipa costs £2.49/month (billed monthly) or £24.99/year (billed annually — roughly two months free). There's also a 30-day free trial with no card required.
Correct — you can try Pipa for 30 days without entering any payment details. At the end of your trial you'll be invited to subscribe if you'd like to continue. No hidden charges, no automatic renewals without consent.
Yes. You can cancel from your account at any time. There are no contracts or cancellation fees. If you cancel a paid subscription, you retain access until the end of your current billing period.
We offer a referral programme: refer friends and earn free months — the more you refer, the longer your free period. We also run occasional promotional discounts. If you're signing up as a school-sponsored group or PTA, contact us at hello@pipa-assist.co.uk and we'll find the right arrangement.
Privacy & data
Yes. Pipa is GDPR-compliant from the ground up. We never sell your data, never share it with third parties for marketing, and only use it to generate your reminders. Full details are in our Privacy Notice.
Pipa stores the school communications you forward, the events we extract from them, and your reminder history. Raw emails are retained briefly for processing, then deleted. Extracted event data is retained for the duration of your active subscription.
You can request deletion of your data at any time by emailing hello@pipa-assist.co.uk.
Your emails are processed automatically by Pipa's system. No human at Pipa reads your school emails unless you specifically contact us with a query about a specific communication, in which case we would only access it with your permission.
All data is stored on UK/EU-based servers. We do not transfer your personal data outside of the UK or EU. Our infrastructure is hosted on DigitalOcean, and email processing uses Postmark — both operating within compliant regions.
